Masterlist/audience building

  • Completing the list of invitees (missing details, checking whether people are still “in the listed position”, etc.)
  • Tracking status of invitations

Communication with invitees/participants

  • Helping with email and phone follow-ups
  • Communication of logistical details
  • Sending out invitations to selected participants
  • Sending out last minute invitations

Registration System

  • Collect inputs from SPT members (who needs to be invited/registered) for both events. (Inputs – who needs to receive an invitation, who from SPT team needs to be in cc), under which category (Partner/participant and covered/noncovered) etc.)
  • Track all invited participants and partners in a table (list of invitees), with all details incl. status of invitation (shared with SPT members)
  • Responsible for approving all registration in the system (Aventri) and PoC for guests in case of any technical issues or questions on logistics, general questions, etc.
  • Report to SPT members – who from invited guests is already registered and where a follow-up is needed
  • Communicate with SPT on accommodation of participants/partners (especially when it comes to TS – reserved rooms for partners in all hotels, covered/noncovered)
  • Responsible for communication of logistical details to all participants (local transportation, reservation forms, info on accommodation covered by GLOBSEC, etc.)
  • Approving registrations, checking and modifying details in the registration system, incomplete registrations
  • Creating exports (list of registered participants) for internal or external purposes

We are looking for under-graduate/bachelor studies in International Relations, Politics, European Studies, Management, Economics, with excellent communication and organizational skills, experience with MS Office software packages (Word, Excel,PowerPoint, Outlook etc.), with enthusiasm with a Can-Do attitude
